Optometry practices: more customers, new revenue, less unnecessary cost.

Optometry practices earn on the exam and on the optical, and lose patients between annual visits. These are the systems we would typically build and operate for an optometry practice, using the tools it already has.

These are examples, not a package. We start with the opportunity worth the most to your business, record a baseline, and build what it needs using the tools you already have.

What we usually see

Patients due for their annual exam get one reminder and then nothing. Vision plan eligibility is checked by hand the morning of the visit. Glasses arrive from the lab and sit in a drawer while staff call patients one by one. Contact lens patients reorder online somewhere else, and the prescription that walked out without buying frames is never followed up.

Tools you probably already use

  • Practice software such as RevolutionEHR, Compulink, Crystal PM or OfficeMate
  • Vision plan portals such as VSP and EyeMed
  • Your optical lab and ordering tools
  • Patient communication tools such as Weave or Solutionreach
  • Your website, online booking and Google Business Profile

Where we would start

  1. 01

    Exam recall that follows through

Patients due for their annual or medical follow-up exam get reminders on your cadence, and the ones who do not book go to a short call list.

    What changes

The exam schedule fills from patients who already know you.

  2. 02

    Eligibility checked before the visit

Vision plan eligibility and benefits are checked ahead of each exam, and anything that needs a person goes to the front desk the day before.

    What changes

Patients know what is covered before they choose frames.

  3. 03

Eyewear tracked from order to pickup

Every lab order is tracked, patients get a text when their glasses are ready, and orders not picked up are followed up.

    What changes

The drawer of finished glasses empties itself.

  4. 04

Contact lens reorders that happen here

Patients hear when their supply is likely running low or their benefits reset, with an easy way to reorder through your practice.

    What changes

Reorders stay with the practice that wrote the prescription.

  5. 05

    Optical follow-up for open prescriptions

Patients who left with a new prescription and no eyewear get a timely note about their benefits and your optical, in your voice.

    What changes

More prescriptions are filled in your own optical.

  6. 06

    A weekly practice report

Exams, optical capture, orders waiting for pickup, patients overdue for recall and unused benefits, in one message.

    What changes

You see both sides of the practice at a glance.

What stays with you

Exams, prescriptions, diagnoses and anything clinical stay with your doctors. AI never diagnoses or gives medical advice; it books, reminds and tracks orders. Patient information stays in your own systems, and we confirm what each system holds, and what agreements that requires, before anything connects. Review invitations go to every patient the same way and never mention their care. Connecting your tools does not authorize us to send messages or change records; every automatic action is one you agreed to, and you decide what needs review first.

Questions

Do we have to switch practice software?
No. We work with RevolutionEHR, Compulink, Crystal PM or whatever you use, and connect it to your lab, vision plans and messaging. We confirm what can connect before any work begins.
Does this replace our reminder tool?
Not necessarily. If you use Weave or Solutionreach, we build on it and connect it to the rest of the practice rather than asking you to switch.
Will AI recommend lenses or frames?
No. Recommendations come from your doctors and opticians. The systems remind, track and follow up.
