Marketing agencies: more customers, new revenue, less unnecessary cost.

Agencies sell expertise and lose hours to the work around it. These are the systems we would typically build and operate for a marketing, creative or digital agency, using the tools it already has.

These are examples, not a package. We start with the opportunity worth the most to your business, record a baseline, and build what it needs using the tools you already have.

What we usually see

Monthly reports take days of screenshots and copying from ad platforms. New clients wait on logins and assets while the team waits on them. Time is tracked loosely, so nobody knows which accounts make money until the year is over. Proposals start from last month's proposal. Renewals and scope changes are noticed when the client brings them up.

Tools you probably already use

  • Project management such as Asana, ClickUp or Monday
  • Time tracking such as Harvest or Toggl
  • Ad and analytics platforms such as Google Ads, Meta and GA4
  • Your CRM and proposal tool
  • QuickBooks or Xero

Where we would start

  1. 01

    Client reports that build themselves

Each client's numbers are pulled from their ad and analytics accounts into your report format, with a draft summary of what changed for your account manager to edit.

    What changes

Reporting takes an hour of judgment instead of days of copying.

  2. 02

    Onboarding that runs

A signed client gets a checklist for access, brand assets and a kickoff booking, with reminders until everything arrives, and your team sees what is missing.

    What changes

Work starts in days, not weeks.

  3. 03

    Profitability by account

Time, contractor costs and fees are matched to each retainer, and accounts running over scope are flagged every week.

    What changes

You know which clients make money while you can still do something about it.

  4. 04

Proposals from what you already know

New proposals are drafted from your services, past work and the prospect's discovery notes, ready for your edit.

    What changes

Proposals go out the same week as the call.

  5. 05

    Renewals and scope in view

Contract end dates, spend changes and requests outside scope are tracked, with a heads-up to the account lead well ahead of time.

    What changes

Renewal and upsell conversations happen on your schedule.

  6. 06

    A weekly agency report

Hours by client, accounts over scope, upcoming renewals, open receivables and pipeline, in one message.

    What changes

Partners see the whole agency without chasing account managers.

What stays with you

Strategy, creative and anything that spends a client's money stay with your team. Client reports and proposals are drafts until a person sends them. Access to client accounts is limited to what each system needs. Connecting your tools does not authorize us to send messages or change records; every automatic action is one you agreed to, and you decide what needs review first.

Questions

Are you a white-label agency?
No. We do not do your client work. We build and operate the systems that run your agency so your team can do more of it.
Can reports use our own branding?
Yes. Reports follow your format and branding, and your account managers edit and send them.
Do we have to change our project tools?
No. We work with the project, time and reporting tools you already use, and confirm what can connect before any work begins.
